Club Policies & Expectations

At Illusions Netball Club, we follow the policies and guidelines set by Netball WA and Netball Australia to ensure a safe, inclusive, and respectful environment for everyone involved in our club, including players, coaches, umpires, parents, and volunteers.

These documents reflect the standards and expectations upheld across our sport.

 

We encourage all members to familiarise themselves with the following:

Illusions Netball Club – Code of Behaviour Statement

All members of Illusions Netball Club — including players, parents, guardians, coaches, volunteers, and supporters — are expected to uphold and honour the Netball Australia National Codes of Behaviour.

These expectations apply at all times when:

  • Attending club-related events such as training, competitions, and social activities

  • Wearing any part of the Illusions uniform, whether on or off the court

  • Participating in external programs or competitions connected to the club, including Development Programs

  • Acting with respect and integrity, both on and off the court

  • Prioritising child safety and wellbeing, especially for our youngest players

  • Displaying good sportsmanship, supporting teammates and opponents alike

  • Respecting the decisions of umpires and officials

  • Encouraging participation over performance, particularly in junior netball

By being part of Illusions, you agree to demonstrate the highest standards of behaviour — in line with your role — as outlined in Netball Australia’s codes for:

Child Safety & Working with Children

Illusions Netball Club is committed to providing a safe and supportive environment for all children and young people who participate in our programs. We believe every child has the right to feel safe, be treated with respect, and enjoy netball in a positive environment free from harm.

As an affiliated club, we follow the policies and guidelines set by Netball WA and Netball Australia, including the Member Protection Policy, Child Safe Practices, and Working with Children Check (WWC) requirements in Western Australia.

Working with Children Requirements

In accordance with Western Australian law and Netball WA guidelines:

  • All volunteers, coaches, team managers, and committee members who work with or around children must hold a valid Working with Children Check (WWC) card, unless exempt.

  • The club keeps a register of all WWC cardholders, and we may request proof of a valid card at any time.

  • Volunteers must notify the club immediately if their card is suspended, cancelled, or expires.

  • New volunteers must provide evidence of their WWC card before commencing in any role that involves children.

Screening & Member Protection

We adhere to Netball WA’s Member Protection Policy, which includes:

  • Screening guidelines for volunteers and officials

  • Processes for managing concerns or complaints related to child safety

  • Promoting safe and inclusive behaviours

  • Supporting all members to be aware of their rights and responsibilities

To ensure alignment with best practices in sport, our club takes guidance directly from Netball WA’s official documents. These policies help ensure that everyone involved in our sport is protected and respected.

Weather & Heat Policy

At Illusions Netball Club, the safety and wellbeing of our players, coaches, umpires, and spectators is our top priority — especially in extreme weather conditions.

We follow the official Netball WA Weather Policy (NWA‑POL‑23), which provides clear guidelines for managing heat, rain, storms, and other hazardous conditions.

Heat

Extreme heat can pose serious risks to player health, particularly in junior age groups. In line with Netball WA’s guidelines:

  • Games or training sessions may be delayed, modified, or cancelled if the temperature exceeds safe limits.

  • Coaches and team managers will encourage frequent hydration, shaded rest breaks, and monitor signs of heat stress.

  • Decisions about cancellations due to heat will be communicated as early as possible via the club's official channels (email, text, or social media).​

Rain, Lightning & Unsafe Conditions

  • Lightning within close proximity to courts may result in games or training being paused or cancelled.

  • Heavy rain or slippery court surfaces may also lead to cancellations if deemed unsafe.

  • Umpires and coaches are empowered to make safety-first decisions at the time of play or training.​date.

Communication & Updates

Any weather-related changes to training or games will be communicated through:

  • Club social media pages

  • Emails or SMS to team contacts

  • Direct updates from coaches or managers

We encourage all families to check regularly during extreme weather conditions and to avoid making assumptions before receiving an official update.

Our Position

Illusions Netball Club follows Netball WA’s Weather Policy (NWA‑POL‑23) for extreme heat, rain, and lightning. Player safety is our priority.

Privacy Statement

At Illusions Netball Club, we are committed to respecting and protecting the privacy of all members, families, and participants involved in our club. We understand the responsibility that comes with managing personal information and visual content, especially where children are involved.

Our approach is guided by the Australian Privacy Principles, as well as the policies of Netball WA and Netball Australia.

Photo & Media Use

To protect our members — particularly juniors — Illusions Netball Club does not use or publish any photos or videos of players, teams, or individuals without prior written approval from the Association President.

This includes use on:

  • Social media

  • Website

  • Flyers or promotional material

  • Newsletters

If consent is granted, the club will ensure:

  • No identifying details (like full names or addresses) are included.

  • Content is respectful, relevant, and age-appropriate.

This strict approval process helps us maintain privacy, safety, and compliance with member expectations.

Social Media Conduct

While the club may operate social media channels, no personal content (including photos or identifying information) will be shared unless pre-approved as above.
We encourage all members to be mindful of their own online conduct and to avoid posting photos of other players or teams without proper consent.

Players are not permitted to take or share photos or videos of themselves wearing the Illusions uniform on social media without prior approval from the club. This helps maintain club standards, protects player privacy, and aligns with competition regulations.

Please note: As per Swan Districts Netball Association's Policy, no photography, videoing, or livestreaming of games is allowed without prior approval from the SDNA Match Office. Approved individuals must wear the designated vest and adhere to strict return procedures. Breaches of this policy may result in sanctions.

All personal information and media are handled with care, in line with Netball WA policies and Australian privacy standards.

Grievance & Complaints Process

At Illusions Netball Club, we are committed to fostering a positive, respectful, and supportive environment. We understand that issues may occasionally arise, and when they do, we encourage open, honest, and respectful communication to resolve them.

We follow the Netball WA Grievance Policy and Process Flowchart, ensuring all concerns are handled fairly, promptly, and confidentially.

How to Raise a Concern

If you have a concern, we encourage the following steps:

Informal Resolution
Wherever possible, raise the issue directly with the person involved in a calm and respectful way. Many concerns can be resolved through open discussion.

Escalation to Team Manager or Coach
If the issue is not resolved, speak to your team manager or coach. They are often best placed to help mediate or address the concern.

Formal Grievance

If the issue cannot be resolved within the club, it should be raised with the Swan Districts Netball Association.

Escalation to Netball WA
If the issue relates to serious misconduct or cannot be resolved at the association level, it may be escalated to Netball WA under their Member Protection framework.

Confidentiality & Respect

  • All grievances are handled confidentially, and only those directly involved will be informed.

  • The club does not tolerate victimisation or retaliation in response to someone raising a complaint.

  • We expect all parties to approach the process in a respectful and constructive manner.
